What information we collect
When you contact us or request a quote, we may collect your name, email address, telephone number, town or village, type of job and the details you provide. If you send photographs, videos or messages by email or WhatsApp, we receive those too.
If you become a customer, we may also need a job address, appointment information, quotations, records of work, invoices and payments. Website hosting and security services may process technical information such as your IP address and server logs.
Please avoid sending unnecessary sensitive information or payment-card details through our enquiry form.
Why we use information
- To respond to your enquiry, discuss your requirements and provide a quotation.
- To arrange, carry out and follow up on agreed plumbing, heating or bathroom work.
- To issue invoices, keep business accounts and meet tax or other legal obligations.
- To protect the website, prevent spam and deal with legitimate business queries.
Our lawful bases generally include taking steps at your request before a contract, performing a contract, complying with legal obligations and, where appropriate, legitimate interests in proportionate business administration and website security. We do not automatically sign you up for marketing when you request a quote.
Website enquiries and service providers
Our website enquiry form sends information via FormSubmit.co to our business mailbox at contact@johnson.plumbing. The current form does not separately store a copy in the WordPress page database. FormSubmit.co states that form-submission archives are retained for 30 days; copies delivered to our email inbox are handled under our own retention practices.
We use Hostinger for website hosting and email, and Xero for quoting, invoicing and accounting. If you contact us using WhatsApp, Facebook or Instagram, those services also process data under their own privacy terms. We may share only the information needed with a relevant tradesperson or professional where it is necessary for work you ask us to coordinate.
We do not sell your personal information. Some technology providers may process information outside the UK; where applicable, overseas transfers are subject to UK data-protection requirements. Please contact us if you need more information about a particular provider.
How long we keep information
We retain enquiry correspondence only while it is reasonably needed to reply, follow up or deal with an associated concern. Enquiries that do not lead to a job are periodically reviewed and deleted when no longer required. Quotations and completed-job records may be kept longer where necessary for warranties, contractual matters, insurance or legal claims.
Accounting and tax records are kept for at least five years after the 31 January Self Assessment filing deadline for the tax year concerned, or longer where the law requires. FormSubmit.co states that its own submission archive retains records for 30 days. When information is no longer needed, we aim to delete or anonymise it securely.
Cookies and website security
Our website, hosting and security services may use essential technical features, including cookies, to run the website and help keep it secure. If we introduce non-essential analytics or advertising cookies, we will provide the relevant information and consent controls where required by UK law. We periodically review the technology used on the site.
Your rights
Depending on the circumstances, you may have rights to access, correct or erase personal information, restrict its use, object to particular processing or raise concerns. To make a request, email contact@johnson.plumbing. We may need to check your identity before responding.
You can also complain to the UK Information Commissioner’s Office (ICO). See ico.org.uk/make-a-complaint.
Updates to this policy
We may update this notice if our services, website or use of personal information changes. The latest version will be displayed on this page.
